Kind Ledger provides cannabis-focused accounting, cleanup, close, cash visibility, inventory/COGS support, 280E-aware tax-readiness coordination, and operator-grade reporting support for licensed cannabis operators. This Privacy Policy describes website and business inquiry practices. Client work is also governed by any separate written engagement agreement, statement of work, nondisclosure agreement, secure intake process, or other written agreement that applies to the engagement.

Please do not submit bank statements, tax returns, tax workpapers, payroll records, POS exports, inventory exports, seed-to-sale records, QBO files, GL exports, passwords, EFTPS PINs, or other sensitive financial, operational, compliance-related, or confidential business records through a general website form.

We will confirm scope, engagement terms, and a secure intake path before reviewing records. Client records should be transmitted only through agreed channels or secure systems after Kind Ledger specifically requests them and provides appropriate instructions.

We do not control those third-party services and are not responsible for the privacy practices, security, availability, content, or policies of third-party websites, platforms, or services that we do not control.

10. Client Records and Engagement-Specific Confidentiality

Confidentiality obligations for client work are governed by the applicable engagement agreement, nondisclosure agreement, secure intake process, client portal terms if applicable, or other written agreement between Kind Ledger and the client. This Privacy Policy does not replace those agreements.

When client records are provided under an engagement, we use them for the agreed scope of work, such as diagnostic review, cleanup, close, reporting, reconciliation, cash visibility, inventory/COGS support, tax-readiness coordination, or related accounting and finance services. Client records should be transmitted through agreed channels, not through general website forms unless specifically instructed.

11. Data retention

We retain information for as long as reasonably necessary for the purposes described in this Privacy Policy, including responding to inquiries, managing relationships, providing services, maintaining business records, complying with legal and accounting obligations, resolving disputes, maintaining security, and honoring opt-out requests.

Client records may be retained according to the applicable engagement agreement, professional obligations, legal requirements, document retention practices, and business needs. We may retain limited information even after a request to delete information if retention is necessary to comply with law, protect rights, complete a transaction, maintain security, resolve disputes, or honor an opt-out request.

We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure. However, no website, email system, storage system, or transmission method is completely secure.
